Dear Members of the Strings Planning Committee,

In response to your request for proposals, the string theory groups from Switzerland propose to host the Strings 2024 conference at the CERN Science Gateway.

Proposed Dates

Our proposed dates for the conference are June 3rd to June 7th, 2024.

Local Organizers and Administrative Support

The local organizing committee consists of: D. Andriot, M. Blau, M. Gaberdiel, V. Gorbenko, A. Grassi, M. Guica, S. Komatsu, W. Lerche, K. Papadodimas, J. Penedones, S. Reffert, J. Sonner, P. Tourkine, I. Valenzuela, and A. Zhiboedov.
Administrative support will be provided by CERN's internal staff.

Venue, Funding, and Online Options

The venue for this conference is the CERN Science Gateway, with capacity for under 1000 attendees. It is equipped with state-of-the-art facilities, making it an excellent location for Strings 2024. Our funding resources comprise local institutions, SwissMap, and various private donors and corporations. We also plan to provide an online option for participants unable to attend physically, thereby ensuring inclusivity and reducing carbon footprint.

Equity, Diversity, and Inclusion (EDI) Plan

We are committed to ensuring a safe, inclusive, and respectful environment for all participants. As a part of our EDI plan, we will appoint an EDI officer in our organizing committee.

Support for Young Researchers, Postdocs, and Participants from Developing Countries

Understanding the significance of nurturing budding scientists, we plan to establish scholarships and travel grants specifically for young researchers and participants from developing countries.

Environmentally Friendly Practices

CERN's commitment to sustainable practices will be reflected in our organization of the conference. This includes promoting the use of digital materials over paper, encouraging sustainable transportation, providing locally sourced food and drink, and enabling virtual participation to reduce travel-related carbon emissions.

Code of Conduct

We are committed to maintaining an environment at Strings 2024 free from any form of discrimination, harassment, or retaliation. Participants will be expected to uphold a high standard of respect and professionalism. As CERN contributors, we will exercise our authority responsibly, promoting fairness, impartiality, and a culture of openness. Any act or omission designed to deceive others, or to achieve a gain resulting in a loss of funds or reputation for CERN will not be tolerated. All contributors are expected to familiarize themselves with applicable rules and regulations, promoting and maintaining a safe environment, and demonstrating flexibility to adapt to CERN’s evolving needs.

The Code of Conduct will be enforced in both physical and digital spaces associated with the conference. In the event of uncertainty or need for clarification on the Code of Conduct, attendees can consult a variety of resources including their hierarchy, the Human Resources Department, the Ombud Office, or the Internal Audit. More information is accessible at [cern.ch/codeofconduct].

We reiterate our commitment to the Strings conference Code of Conduct and strive to provide an environment promoting respectful and inclusive interactions.

We hope that our proposal aligns with your vision for Strings 2024 and look forward to your feedback.

Sincerely,
The Organisers of the proposed Strings 2024 conference
